Rental Terms

Last updated February 2026

These baseline terms apply to rentals arranged through Equipment On Call. Individual owners may add their own conditions; where they do, those conditions are shown before you book.

Reservations

  • Selecting dates places a hold. The hold expires if it is not confirmed.
  • A reservation is confirmed once the quote is accepted and payment is authorised, and where required, the owner has approved it.
  • Availability shown before confirmation is informational until the reservation is created.

Cancellations and changes

Cancellation windows and any applicable fees are shown on your reservation before you confirm. Extensions can be requested during a rental and are subject to availability.

Security deposits

Where a deposit applies, it is authorised or collected with your payment. After the return inspection, condition is reconciled and the deposit is released or applied to documented charges, with the reasoning recorded in your account.

Condition and documentation

Equipment condition, fuel and meter readings are recorded at handoff and again at return. Both parties can review those records. Charges must be supported by that documentation.

Late returns

Equipment returned after the agreed end time may incur additional rental charges based on the published rate, plus any documented costs caused by the delay.

Damage and loss

Renters are responsible for damage beyond normal wear, and for loss or theft during the rental period. Damage is documented at return and reconciled before any deposit decision.

Breakdowns

If equipment fails through no fault of the renter, open a service case in the app. Repair, recovery, replacement and downtime are tracked on that case and rental charges are adjusted according to the outcome.

Operation and safety

Only qualified people may operate rented equipment. Renters must comply with all applicable safety rules, licensing and transport regulations.

Insurance

Equipment On Call does not provide insurance. Insurance responsibilities remain with the owner and the renter.
